About Housing & Residential Education

USF – Tampa’s Department of Housing & Residential Education consists of three units: Operations & Outreach, Facilities & Maintenance, and Budget & Finance. Our team has over 120 fulltime staff members and employs approximately 300 student staff members.  Together, along with our partners in Residential Education, we strive to provide a positive residential experience for over 6,400 residents, making Housing & Residential EducationThe Best Place To Live. Housing & Residential Education operates 60 residential buildings which comprises approximately 1.75 million square feet of residential, dining, recreation, and administrative space.  The department is currently finalizing the construction of 2100 new beds in a residential village, complete with dining and recreational facilities and making it Florida’s largest student housing partnership. In addition, Housing & Residential Education hosted the prestigious ACUHO-I’s James C. Grimm National Housing Training Institute (NHTI) in the summers of 2016 – 2018 and was the 2017 ACUHO-I Presidential Service Award recipient.

The Position

The Housing Assignments Coordinator works closely with other professionals in Housing and Residential Education (HRE) to administer and manage the housing and residence education program serving over 6,400 on-campus students. This position has primary responsibility for managing the on-campus housing assignments processes, room selection processes, room transfer process, as well as general development and operation of the Residential Management System (RMS) for populations including, but not limited to First-Time in College, Returning students, Transfer students, and Affiliated Housing. This position will primarily service the non-program specific residential population.  The Assignment Coordinator reports directly to the Assistant Director for Assignments.  Some evenings and weekend work, required.

Duties:

Occupancy Management - 30%

  • Oversee daily management of on-campus housing assignments processes including residence hall assignments, room selection processes, room changes, space management, etc. for non-program specific populations

  • Maintains accurate records of affiliated property’s occupancy rosters.

  • Works with department and campus partners to coordinate ADA assignments for students with special accommodation needs.

Developing reports, forecasting, and anticipating trends - 25%

  • Develop custom reports and queries for individuals, departments, and outside entities.

  • Assist with the coordination of all occupancy, usage, and reporting efforts for the Office of Housing and Residential Education, including identifying trends, projections and forecasting of future housing needs.

System Management - 20%

  • Serves as a system administrator for RMS.

  • Make recommendations for improving areas of efficiency, sustainability, training, and automation.

  • Trains users and functional teams in the RMS modules in which they work. This occurs on a one-on-one, departmental, and inter-department format.

Engagement - 20%

  • Approach service delivery and office operations in a friendly, positive and professional manner.

  • Research and respond to complex inquiries from students, parents, and campus partners in order to provide or clarify information on Housing & Residential Education services, options, programs, policies or procedures.

  • Serve as a secondary supervisor for student assistants (performing a variety of roles and functions, i.e. Office Assistant, Desk/Reception, Summer Call-Center, etc.).

  • Conduct presentations and staffing the resource table about on-campus housing for new student events

Participate in various internal and external meetings related to occupancy management - 5%

  • Participate in after-hours rotation for assignments related issues.

  • All other Duties as Assigned


Job Requirements

QUALIFICATIONS (Education & Experience):

Minimum Qualifications: This position requires a Bachelor's degree with at least one year of experience in a related field (Housing, Leasing, Student Affairs, and Customer Service).  Work experience may not be substituted for the Bachelor's degree requirement for this position. 

Preferred Qualifications: The preferred qualifications include a Master’s Degree in Higher Education Administration, MBA, or related field from a regionally accredited university/college and three years of related experience of University Student Housing or Student Affairs experience preferred.  Experience with writing SQL statements, databases, RMS Mercury 3.0+, and process improvement practices are a plus.
