Position Description

Under the general direction of the Associate Director of Business Operations, the Assignments Coordinator is responsible for administration of all aspects of student room assignments within the HSU residence halls. Duties include record keeping, reporting, training, and correspondence with students, various campus partners, Chancellor’s Office and Housing and Residence Life staff. The Assignments Coordinator coordinates the use of the StarRez housing database system in conjunction with the Business Operations team. Additionally, the Assignments Coordinator provides lead work direction to the Business Operations Coordinator who is backup for the Assignments Coordinator position.


Job Requirements

This position will be responsible for Room Assignments Coordination, Occupancy Management, Lead Work Direction to a Business Operations Coordinator, Processing Adjustments and Changes, and not limited to the following:

  • Responsible for keeping the StarRez software room database updated each season
  • Oversees assignment operations, maintaining the rooms operation, maintains the inventory and maintenance modules, updates the database with checks and balances, and ensures the system is up and running properly for each semester term
  • Coordinates all student housing assignments, working with Residence Life on Living Learning and themed housing areas, Residence Life staff placement and International housing
  • Facilitates room moves, wait lists, trains Residence Life Coordinators on room move process and StarRez software, and assists to resolve conflict issues where appropriate
  • Facilitates the creation of resident check-in pouches with keys and access cards
  • Coordinates creation of payment plan schedules, in conjunction with Dining and Housing parameters, determines daily rates and coordinates preparation of accurate rates and prorate schedules to enter into StarRez used to assess prorated student fees
  • Prepares reports on occupancy and applications, comparing yearly data to review trends for future planning for the department, campus and Chancellor’s Office requests
  • Reconciles rent and board with Dining and Peoplesoft
  • Provides lead work direction to the Business Operations Coordinator’s role that includes assignments, room changes, work orders, inspections, room move fair, scanning forms, inventory and maintenance, key cabinet, check in pouches and processing billing adjustment forms
  • Initiates and reviews all adjustments to student Housing and Dining accounts, producing adjustment and account adjustment forms, coordinating with the Associate Director of Business Operations, Cashier and campus Accounting
  • Reports room changes, cancellations, new residents, closing of accounts, and assesses damages and credits using the adjustment forms process
  • Additional Duties as Assigned
