Position Description

Working in collaboration with the Assistant Vice President for Student Affairs, the Assistant Dean oversees and manages the operations, policy development, administration, and processes and programs related to residential life and student housing for the Division of Student Affairs (DSA). The Assistant Dean exercises significant independent judgment and discretion in working with students and collaboratively with other staff in the Division of Student Affairs to provide guidance, training, and program development for students. The Assistant Dean engages in practices that contribute to the quality of life for students and develops good relations among students and between students, faculty, and staff. The Assistant Dean for Campus Life serves as a leadership figure and role model who provides direction and support to students, Proctors, Mentors and various student leaders.

The Assistant Dean is expected to live on campus in College-provided housing to facilitate student involvement within the residential community, and is expected to participate in the on-call duty schedule on a rotating basis and respond to crises when appropriate. Due to the nature of programs and on-call duty, the schedule for this position includes occasional weekends and evenings.

Summary of Job Responsibilities:

Provide leadership for day-to-day operations associated with managing residential facilities (e.g. maintenance, housing policies, keys, building openings and closings), issues related to room assignments and changes, and roommate/suitemate conflicts. Maintain accurate student housing-related data on the College's administrative data system including room changes; and produce and maintain the student roster and other reports, as needed. Serve as the primary point of contact for off-campus housing. Liaise with the Offices of Facilities and Maintenance, Business Affairs, Disability Resources, other offices within DSA, Campus Safety, 7C consortium partners and resources, and other campus offices as necessary. Interpret, explain and enforce residential life and DSA policies. Serve as the primary DSA adviser to the Residential Affairs Liaison(s), an executive appointment of Associated Students of Harvey Mudd (ASHMC). Supervise and manage room assignments for first year students; work with ASHMC to plan for and implement room draw; enter and maintain housing-related data on the College's administrative data system. With the guidance of the Assistant Vice President for Student Affairs, lead the annual selection of residential life student leaders (Proctors and Mentors). Assist with revising position descriptions, managing the application process, holding informational meetings, sending emails, advertising, and coordinating the group and individual interviews for the selection process. Supervise Proctors and Mentors. Hold bi-weekly one-on-one meetings with Proctors and once a semester one-on-one meetings with Mentors designed to provide them with role modeling, guidance, and support. With the guidance of the Assistant Vice President for Student Affairs, lead, design, present and participate in Proctor and Mentor training programs that contribute to their professional development. Manage the preparation and scheduling for Fall, Winter, and Spring Residential Life training programs.

Design and coordinate weekly in-service learning opportunities for Proctors and bi-weekly in-service learning opportunities for Mentors. Represent DSA and lead initiatives to promote learning in the residence halls. Supervise the residential education program including training and supporting Proctors and Mentors on the Residential Life programming model, collecting programming proposals and reviews, and assessing programs and experiences for students. Perform on-call duty coverage on a rotating basis along with other Assistant Deans/Associate Director and respond to student crises when appropriate. Coordinate transportation for students to and from the student health center, counseling center, and/or local off-campus medical facilities. The Assistant Dean may interact with and manage students at the hospital depending on the needs of the situation. The Assistant Dean is required to be on-call during the opening and closing of the residential facilities each semester. Serve as the on-call scheduler and will be the primary point person for managing residential on-call concerns. The Assistant Dean will participate in the development and implementation of appropriate emergency or crisis procedures in conjunction with the Assistant Vice President for Student Affairs, DSA leadership and offices, Facilities and Maintenance, Campus Safety, Student Health Services, Monsour Counseling and Psychological Services, and off-campus agencies/resources. Respond to urgent situations and provide support to Proctors independent of the on-call rotation, which may occur in the evenings and/or on the weekends. Participate in the HMC Incident Management Team. Serve as the liaison between the Assistant VP for Facilities and Emergency Preparedness and the Proctors; participate in training Proctors in emergency preparedness as necessary. Prepare annual impact reports, program assessments, recommendations, and implement data-driven changes, as required. Work cooperatively with the relevant staff from the other Claremont Colleges and participate in regular intercollegiate meetings and events. Engage in professional development activities to maintain awareness of current practices and trends in student affairs. Serve as a Responsible Employee for Title IX and Campus Security Authority for the Clery Act. Maintain appropriate contact and communication with Campus Safety, Facilities and Maintenance, Dining Services and Media Services to ensure cooperative efforts for activities and events on campus. Manage and maintain program, department, and College information and records that are confidential and/or sensitive in accordance with policy and applicable laws. Serve as a Designated School Official (DSO) under the direction of HMC's Principal Designated School Official (PDSO) and help advise and assist students with immigration petitions and applications, help to process F-1 visas, work permits, reinstatements, extension of stay, or other immigration related matters. Summary of Qualifications:

Education and Experience:

Master's degree in student affairs, social science or a related field with at least five years of related experience.

Minimum of five years of paid or unpaid experience in residential life. Experience with undergraduate programming, student training, housing, and working on a residential campus preferred. Valid driver's license and a driving record acceptable to the College's automobile insurance carrier.

Knowledge, Skills, and Abilities:

  1. Demonstrated skill in communicating effectively both orally and in writing, making presentations that are clear and relevant to student audiences, and leading training and developmental programs.
  2. Demonstrated ability to effectively interpret and communicate college policy and other laws, rules, and regulations governing student matters – especially residential issues.
  3. Ability and availability to work nights and weekends, and to be the serve on the on-call staff rotation.
  4. Personal integrity and ability to interact successfully with individuals with varying abilities, backgrounds, interests and beliefs.
  5. Demonstrated computer ability and record keeping and file management skills.
  6. Ability to supervise and develop student Proctors and Mentors.
  7. Ability to safeguard, manage, and secure confidential information and records in accordance with policy and applicable laws.
  8. Possess a student-centered approach to responsibilities.
  9. Self-motivated and demonstrated record of taking imitative and working independently.
  10. Ability to organize and prioritize projects.
  11. Adept at troubleshooting and problem-solving with the ability to assess a situation, identify issues and possible solutions, and determine the best course of action.
  12. Ability to exercise tact and diplomacy when handling highly sensitive and confidential issues.
