Position Description

A primary function of Orientation & Transition Experiences is to implement orientation programs for new students and families. This leadership position will be part of team responsible for the development, coordination, planning, implementation and oversight of freshman student orientation, transfer student orientation (on-campus and online), and parent orientation programs. Orientation runs June-August for all programs and again in January for Transfer Orientation. Freshman Orientation is a two-day overnight program and the dates overlap during the week. Transfer Orientation is a one-day program with a required online orientation component.

This position is required to collaborate within and across units, as well as, assist with the management of program changes and logistics, communications strategies, system support and student leader supervision. The Assistant Director serves on a team of 9 full-time, professional staff and many student staff and reports to the Director of Orientation Programs in Orientation & Transition Experiences.

DUTIES & RESPONSIBILITIES:

Assist with the implementation of all Orientation Programs (65%)

  • Serve as a member of the Orientation implementation team working with Student Program Coordinators (2), Orientation Leaders (28), Orientation Program Assistants (5), Parent Orientation Coordinators (2), Transfer Student Coordinator (1), Transfer Student Leaders (10+) and full-time staff (3).
  • Work closely with the Director of Orientation Programs to execute the planning and implementation of 22 Freshman Orientation programs (6200 students), 23 Freshman Parent Orientation programs (6000 family members) and 12 Transfer Orientation (2500 students) and Transfer Parent Orientation programs (700 family members). These areas of planning include:
    • Program Logistics: Room reservations, catering and housing contracts, transportation needs, University department resource fair
    • Assessment: Develop program evaluations for each program, analyze data results, communicate with responses to campus partners and create summary reports for each assessments
    • Communications: Develop the content for emails, printed publications, orientation presentations, orientation schedules, transfer online orientation, webpage and social media.
    • Liaison to Colleges/Departments: Work closely with Director for Orientation in an effort to communicate with 8 collegiate units and service areas to negotiate dates, orientation schedule and their logistics.
    • Special Population Parent Programs: Work with the Director of Parent and Family Program to plan and execute the Gopher Family Connect Events, the Asian American Pacific Islander Family Connect Event, and Saturday Parent Orientation.
    • Welcome Week: Work with the Assistant Director for Welcome Week and Transition Programs to assist with the coordination and implementation of the Transfer Track events. This includes managing Transfer Student Leader training, role assignments and day-to-day supervision as well as on-site implementation of Transfer Track events.
    • Budget: Plan and monitor program expenditures to ensure appropriate spending.
  • Work with the Associate Director for Operations to articulate needs for the check-in process for freshman, transfer and parent orientation programs.
  • Expect to remain current on trends and issues related to the student experience and incorporating technology into the orientation programs.
  • Communicate issues and outcomes to college units and departments to address issues and improve programs

Supervision & Training (25%)

  • Supervise a Transfer Student Coordinator who will also support the transfer initiatives under the direction of the Coordinator of Student Transition Experiences during the academic year.
  • Work with the Orientation Student Coordinators (2) in the development of the program content delivered by Orientation Leaders
  • Collaborate with the Assistant Director for Leadership, Training and Development to provide leadership and direction in the recruitment, selection, training and supervision of 10+ Transfer Student Leaders (TSL).
  • Assist in the recruitment, selection, and training of two Parent Coordinators responsible for managing, troubleshooting, presenting to and hosting the parents during Parent Orientation.
  • Evenings required for mandatory TSL training throughout the spring semester.

University Committee Representation (5%)

  • Co-Chair the Orientation Advisory Committee comprised of 8 collegiate units and 5 campus partners by facilitating monthly planning meetings.
  • Represent orientation programs on the Transfer Student Advisory Committee comprised of campus partners and collegiate units that serve transfer students
  • Serve on other campus-wide committees as assigned

Other duties as assigned to be determined. (5%)

  • Provide support to any initiatives implemented by OTE or the Office of Undergraduate Education.

Job Requirements

Essential Qualifications:

BA/BS degree and at least four years of relevant work experience.
Three years of full-time work experience in orientation, transition programs, student success area, or related field.
Demonstrated ability to communicate effectively both orally and in writing.
Commitment to diversity and inclusive excellence.
Willing and able to work evening and weekend hours. 

Preferred Qualifications:

Master’s degree in Higher Education, College Student Personnel, or other related areas.
Previous experience managing and implementing program content and logistics.
Three years of experience with orientation or large-scale programming experience.
Previous experience working with the first-year, transfer student population, parent/family populations, or other populations where experiences and skills could be transferred.
Ability to make data-driven decisions regarding programmatic efforts.
Previous supervisory experience of staff (student or professional).
Ability to work and communicate across organizational programs and priorities.
Flexible and adaptable to change.
Collaborative and diplomatic relationship style; able to promote respect and practice of civility and inclusivity in the workplace.
