Position Description

The Office of Graduate Admissions & Student Services is searching for a Associate Director, Graduate Advising and Student Services who will oversee a comprehensive graduate student advising operation and manage the current graduate student enrollment data. This position is supervised by the Director of Graduate Admissions & Enrollment Management and the Associate Dean for Research and Graduate Studies. The Associate Director supervises three professional advisors and graduate student workers.

The responsibilities are:

Manages the School’s graduate student academic advising and student service efforts that support the student lifecycle from matriculation to graduation.

Maintains and updates graduate student records and oversees the workflow process of SEAS and GW forms and petitions.

Coordinate budget planning and contribute to annual and multiple years’ budget projections.

Monitors current graduate student enrollment data by implementing a system to track course registration data and qualitative enrollment information gathered during student advising appointments.

Identifies enrollment trends that would impact enrollment projections and retention and provides timely notification to the Director of Graduate Admissions & Student ServicesEnrollment Management and the SEAS Senior Finance Director.

Oversees non-academic student programming for the School’s graduate student population, including but not limited to on-boarding new graduate students, orientation activities and graduation events.

Implements and maintains comprehensive internal communications plans for the School’s graduate student body and faculty.

Fosters critical relationships with the SEAS Associate Dean of Academic Affairs, academic department chairs and other faculty members on a regular basis to resolve current student academic related issues.

Collaborates with other SEAS and GW offices including but not limited to the International Services Office, Registrar’s Office, Graduation Clearance, etc.

Analyze and evaluate credentials of candidates for admission, advises faculty on student admissions.

Performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Job Requirements

Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 6 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study plus 4 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Preferred Qualifications:

Prior experience in managing graduate student services and academic advising.

Detail-oriented with strong organizational skills, self-motivated, a demonstrated ability to manage multiple priorities and work under pressure to meet deadlines.

Self-starter, results oriented leader who can work and make decisions independently.

Previous supervisory experience.

Proficiency in using web-based communication tools including but not limited to online communication platforms, such as WebEx. Ability to quickly learn and utilize proprietary educational software. Experience working with Microsoft Excel, DegreeMap, Banner and Salesforce is preferred.

Exemplary verbal and written communication skills. Fluency in one or more foreign languages is preferred.

Able to interact effectively with a diverse population at all levels, facilitate decision making and conflict resolution, maintain a positive and constructive demeanor treating all staff, students, and faculty with professionalism, courtesy and respect.

Good people skills with the ability to help people feel at ease. Must function comfortably in a team structure and be able to speak before large and small groups with confidence.

Master’s degree in an area of higher education administration, counseling, student affairs or international education preferred.
