Position Description

Colorado State University’s Department of Civil and Environmental Engineering is seeking a full time program coordinator to manage the undergraduate program. The program coordinator position reports directly to the department head, but for the first 6-12 months in the position, daily direction and training will be provided by another departmental professional academic advisor. The advising staff will work closely together with the department head to support the undergraduate student population through advising and a variety of programs designed to assist students in developing academic plans, making critical transitions, and connecting with campus resources This is a 12-month, full-time administrative professional position.

The selected individual will work closely with undergraduate students in advising/recommending academic requirements, scheduling of classes, and developing plans for academic success. The Undergraduate Coordinator will also communicate with the office of Registrar in evaluating transfer/graduating student’s credentials. Additional responsibilities include but not limited to managing the teaching/class schedule, textbook ordering for the Civil and Environmental Engineering Department, serve on department, college and university committees as needed, assist with university and college events such as Ram Welcome, Commencement, Ram Orientation, and Engineering recruitment events, supervise student ambassadors, and process documents related to graduation, overrides, exceptions, appeals, study abroad, military, athletics, and other advising related issues while in accordance with Accreditation Board for Engineering and Technology (ABET) and Federal Educational Rights and Privacy Act (FERPA) guidelines.

Job Requirements

Advising (50%)

Will be cognizant of current departmental, university, college, and ABET (Accreditation Board for Engineering and Technology) requirements necessary for undergraduate students to obtain their Civil or Environmental Engineering degrees.
• Coordinate faculty advising as well as advise current and prospective students on academic requirements, scheduling of classes, semester-to-semester academic path, and administrative procedures related to academics.
• Advise students on review of transfer evaluation of coursework and clarify and recommend any needed reevaluations.
• Help students develop plans to improve GPA and overcome academic difficulties.
• Process documents related to graduation, overrides, exceptions, appeals, study abroad, military, athletics, and other advising related issues.
• Work within FERPA guidelines.
• Maintain and disseminate advising related information to prospective, current, and former students.
• Evaluate credentials for graduating seniors to determine if departmental, university and ABET requirements have been met.
• Communicate with the Registrar, Degree Office and Payroll staff as needed while supporting students.
• Document appointment notes.

Administrative (25%)

• Oversee administrative support for the curriculum course and program changes in order to have positive influence on the process.
• Supervise student ambassadors.
• Help maintain accurate and current information on the Civil and Environmental Engineering Department website.
• Manage the teaching/class schedule for the fall, spring, and summer semesters.
• Manage departmental records, spreadsheets and databases related to the undergraduate program and students.
• Act as a resource for faculty in the department.
• Serve on department, college and university committees as needed.
• Continuously assess undergraduate program for quality improvements.
• Support and lead program development and implementation.
• Responsible for curriculum management for the Department 
• Manage textbook orders for Department classes 
• Additional responsibilities as determined by departmental needs.

Recruitment and Retention (25%)

• Maintain knowledge of Colorado State University campus resources, information systems, and university, college, and departmental policies and procedures.
• Act as a positive representative for the Civil and Environmental Engineering Department and a positive role model for students.
• Meet with prospective students and families.
• Facilitate faculty to student interactions.
• Assist with university and college events such as Ram Welcome, Commencement, Ram Orientation, and Engineering recruitment events.
• Establish and maintain collaborative working relationships with CSU cultural centers, academic departments, program coordinators, student groups, and university resources.
• Contribute to the development and implementation of overall departmental goals and priorities.
