Position Description

Occupational Summary:

Provide direction, leadership, and operations management of graduate education in the Pratt School of Engineering in conjunction with the academic programs and faculty leadership on continued improvements to enhance the student, academic, and enrollment services for Pratt graduate programs. Areas include program and student support, career development, professional development, recruiting, marketing, admissions operations, cultural and language training, and co-curricular activities focusing primarily on masters programs.

This position requires demonstrated excellence in consensus building and working collaboratively with teams of faculty and staff. Specific skills and experience include: excellent organizational skills, ability to allocate staff resources to multiple projects in a dynamic and efficient manner, maintaining performance of staff members, enabling performance excellence, promoting career development, and ability to understand the strategic goals of multiple programs.

Work Performed:

The following describe the general nature and level of work being performed by individuals assigned to this classification and is not intended to be an exhaustive list of all responsibilities and duties required of personnel so classified.

Responsible for daily operations management of graduate student, academic, and enrollment services teams for departmental and non-departmental Pratt graduate programs. Manage resource allocation and multiple priorities of Pratt graduate programs. Provide general oversight of graduate student programs and assist the school in building capacity for the continued expansion of Pratt graduate programs.

Collaborate with school and department leaders, or their designees, to develop guiding principles, strategies, and plans; conduct comprehensive needs assessments; determine education, training; and develop priorities based on anticipated needs, program impact, and Pratt student services resources. 

Work with school and department leaders, or their designees, to develop and clarify policies and procedures for programs managed by both the Graduate School and Pratt School of Engineering. Provide accurate information on curriculum, policies, and regulations to students, academic advisors, staff, and faculty.

Review Pratt School and Departmental websites, published materials including marketing and recruitment documents, and University bulletins to ensure information regarding graduate student academic requirements, policies and procedures, etc. are being kept current and accurate.  Collaborate with marketing and communications team to develop and implement new program marketing and student recruitment strategies.

Attend meetings with school and department leaders or their designees and facilitate meetings with staff that support graduate programs

Determine fiscal requirements, make projections and prepare annual program as well as individual project budgets; monitor, verify and reconcile expenditure of budgeted funds; prepare financial statements reflecting status of programs and activities; ensure compliance with University policies and procedures. 

Prepare reports and assessments of graduate programs for internal and external (e.g. SACS, ASEE, USNWR) purposes.

Supervise and coordinate work of designated direct reports with responsibility for all personnel matters including, but not limited to, hiring, performance appraisal, promotions, transfers and vacation schedules. Ensure proper distribution of assignments and adequate staffing as well as space and facilities for subsequent performance of duties. Manage personnel activities to meet University and departmental objectives in training, equal pay, equal employment as well as wage and salary administration, performance management, standards of conduct, etc. Provide feedback to Departmental Business Managers, as needed, on the performance of their staff members responsible for graduate student and program support.

Serve as program liaison with administrative and professional personnel concerning University policies and procedures, personnel administration, and budgetary preparation and control. In particular, serve as the primary liaison to Graduate School and other student related offices (ex: bursar’s office, registrar, etc.).

Represent Pratt graduate programs in meetings, conferences and other matters of an administrative nature. Prepare reports and analyses to include financial reports, setting forth progress, adverse trends and appropriate recommendations or conclusions. 

Perform other related duties as needed to accomplish the goals of the Pratt Engineering graduate programs.

Job Requirements

Education/Training:

Work requires a Bachelor’s degree in a field related to student services, general administration or higher education with a Master’s degree strongly preferred.

Experience

A minimum of ten years of experience in a related area or field

Understanding of graduate educational systems

A minimum of five years of experience as a direct supervisor of a cross-functional team

Management of multiple projects

Some budgeting and resource allocation experience

Managing external clients and customers both inside and outside of an organizational unit

Skills required:

Demonstrated excellence in personnel management, project management, ability to motivate others, team building, consensus building, conflict resolution, resource allocation, decision-making and oral and written communication are required.
