Position Summary:
The Director of Administration and Planning is a key strategist and advisor to the Vice President on matters of strategic planning, budget analysis, management, and resource allocation, personnel, processes and policy and is responsible for continuous and integrated improvements to ensure the success of key organizational objectives.



Reporting directly to the vice president, the director is a hands-on and participative manager supporting the efforts of the vice president and leading the work within the Office of the Vice President for Student Affairs and Enrollment Management (SAEM), as well as throughout the division. The division has more than 175 full time and part time employees and an approximately 200 student employees, with a combined operational budget over $23 million. On behalf of the vice president, the director liaises on high-level strategy and initiatives with key campus partners and collaborates with divisional directors in the areas of planning, budget, human resources, operations, risk management, audit & compliance, procurement, information technology, external relations, student success and diversity, marketing and communication.

Essential Duties:
• Collaborate with senior leaders and SAEM directors on strategic matters impacting the division, the institution, its staff and students; provide administrative and project management leadership on initiatives integral to student success.
• Manage and coordinate items referred to the vice president’s office; analyze and summarize key items, some of which are highly confidential, that come before the division; assess items for short and long-term implications at the institutional, divisional and departmental level; make recommendations to the vice president.
• Draft communications and respond on behalf of the vice president ensuring timeliness and efficiency; collaborate with the Office of the President, as necessary.
• Oversee analysis of and policy development for issues and processes; review of processes and procedures to ensure alignment with divisional activities and institutional objectives; make recommendations as appropriate.
• Working with divisional staff, coordinate divisional events and activities and manage divisional committees and institutional committee assignments.
• Perform related duties as assigned.

• Lead divisional assessment and evaluation using established principles of measurement theory to develop valid and reliable instruments that assess student learning, satisfaction, and/or evaluation of programs and services; conduct data analyses using a blend of quantitative and qualitative analysis techniques, as necessary.
• Direct the analysis, interpretation, and preparation of complex financial information supporting the implementation of divisional and institutional strategic plans; maintain financial pro forma; forecast critical milestones and potential obstacles; process the reallocation of divisional budgets based on strategic priorities set by the vice president.
• Provide direction and support to divisional directors and committees to benchmark progress being made on the strategic plan, including implementation and operational plans.
• Oversee and direct all SAEM budgets monitoring all department and program accounts.
• Advise the vice president on budget related items noting opportunities for strategic growth and development.
• Oversee and assist departments with the preparation of annual budgets and the compilation of data to support the proposed student fees.
• Identify potential funding sources through grants and other opportunities for all areas
• Provide excellent stewardship to efficiently use university resources and grant money.
• In collaboration with the University’s budget director, provide guidance and training to divisional directors.
• Collaborate closely with the vice president to identify and communicate the division’s fundraising priorities and strategies for achieving these priorities.
• Performs related duties as assigned.

Required Qualifications:
• Master’s degree and a minimum of 5 years’ experience or Bachelors degree and a minimum of 7 years experience in a role that includes leadership, strategic planning, communication, process improvements, policy development and HR management, with experience in budget management & planning, and program management and analysis.
• Demonstrated success in developing and implementing strategic plans and developing efficient systems to manage complex, detailed processes.
• Possess a high level of organizational skills demonstrating ability to manage and prioritize multiple work streams, responding rapidly to competing demands ensuring attention to detail while exercising adaptability.
• Knowledge of budgeting and accounting policies, practices, and procedures; experience with budget & planning technologies.
• Experience analyzing and interpreting financial data and trends.
• Ability to convey complicated financial issues to a diverse constituency.
• Ability to interpret qualitative and statistical data for problem solving, decision-making, and forecasting.
• Demonstrated commitment to excellent service and a focus on student success with a track record of data-driven creative problem-solving, process redesign, and innovation.
• Demonstrated relationship management skills and success in building collaborative teams and inclusive, cross-functional partnerships.
• Ability to work effectively with diverse populations of students, families, faculty, staff and the public using tact and courtesy in sometimes challenging situations.
• A sense of humor, respect for others, and ability to be a team player, as well as developing effective teams.
• Ability to function effectively in the face of ambiguity.
• Strong verbal and communication skills; ability to explain complex concepts, ideas and issues to various constituents.

• Experience with MS Office.

Preferred Qualifications:
• Experience in higher education, administration, communications, business, government relations, healthcare administration or related field.
• Experience with risk management/enterprise risk management.
• Experience in private or public fundraising.
