ADMINISTRATOR LEVEL

This position is an Administrator I in the California State University Management Personnel Plan (MPP), reporting to the Associate Dean of Undergraduate Education.

 

POSITION SUMMARY

Under the direction of the Associate Dean of Undergraduate Education, the Director of Graduation Specialists is responsible for management and leadership of nine Graduation Specialists working in the Division of Undergraduate Education and Academic Planning (DUEAP). This team of advising staff have dual reporting lines, working both in the Undergraduate Advising Center and their assigned colleges. The Director leads the Graduation Specialists in delivering high-quality, proactive, accurate, and holistic academic advising to SF State students, primarily upper division. The Director coordinates the Graduation Specialist team, assisting them in planning and executing workshops and individual academic advising sessions aimed at helping students understand the requirements needed to complete their degrees and the process and procedures to apply for graduation.

 

In addition, the Director assists with the implementation of SF State's Campus Student Success Plan, focusing on advancing campus-wide advising initiatives that impact student success, retention, and graduation. The Director works with advising staff to further the mission and vision of the shared advisors in alignment with both the mission of San Francisco State University and the mission of the DUEAP. In partnership with the advising leadership in DUEAP and the colleges, the Director plans and executes advising-specific services and events in support of SF State students.

 

ESSENTIAL FUNCTIONS

 

Management/Staffing/Supervision

• Work collaboratively with the Associate Dean of Undergraduate Education to plan, execute, and evaluate advising functions and operations for the Graduation Specialists (9 Student Services Professional lls).

• Support the Graduation Specialists in providing advising-related programs, services, and events that are tailored to the needs of upper division students.

• Coordinate the day-to-day functions for the Graduation Specialists, including but not limited to staff scheduling, project management, and event planning.

• Support Graduation Specialists in delivering a range of advising services which include one-on-one advising, drop-in advising, workshops, advising events, and online advising tools/resources.

• Directly supervise and manage 9 Graduation Specialists, supporting campus initiatives to improve SF State's graduation rate and reduce graduation denials.

• Work with Graduation Specialists to maintain data about their students and to produce regular reports on the outcomes of the High Unit Project

• Provide on-going management and supervision to a team of 9 Graduation Specialists (Student Services Professional lls); manage job responsibilities and duties; review progress and areas for improvement; and address staff questions and concerns.

• Implement a collaborative management approach focused on relationship building with team members in order to retain, inspire, and engage them.

• Work with the Graduation Specialists to identify professional goals and areas of improvement and provide support to assist in the attainment of mutually agreed upon goals.

• Partner with the Director of Advisor Development and College Specialists to plan and execute ongoing training for the Graduation Specialists relevant to advising high-unit students (general education audits, connecting students with major advising, applying for graduation, etc.)

• Provide expertise and support to the Graduation Specialists regarding complex advising policies and student advising situations.

• Collaborate with the Director of the Undergraduate Advising Center in planning and delivering advising for New Student Orientation.

 

Leadership/Planning

• Support the CSU's Graduation Initiative 2025 and SF State's advising initiatives in order to meet our graduation and retention goals.

• Apply best practices in the field of academic advising to ensure the delivery of relevant and developmentally appropriate student support services.

• Ensure that the Graduation Specialists offer outstanding student support in a welcoming, customer service­oriented environment

• Assess the needs of the Graduation Specialists, and advocate for resources to support them in carrying out their duties and responsibilities to the best of their ability.

• Ensure the Graduation Specialist team is fully staffed, strengthening the team by hiring new talent when needed.

• Develop cross-departmental relationships to create more opportunities for developing an SF State culture that values, celebrates, and supports upper division students.

• Make recommendations regarding policies and practices which impact upper division students, particularly in the area of graduation.

• Work closely and maintain excellent relationships with university constituencies, including administrative support services, resource centers, colleges, schools, and other units that support students close to graduation.

• Provide student-centered, solution-focused crisis management for complex student advising situations.

MINIMUM QUALIFICATIONS

• Equivalent to graduation from an accredited four-year college or university.

• Three years of professional work experience in one of the Student Services program areas or a related field (preferably in education) is typical. The incumbent's experience should give evidence of competence and indicate the potential for further growth.

• Experience in planning, coordinating and executing projects, working with multiple stakeholders.

• Experience supporting underrepresented, low-income and first-general college students and developing programs to support the needs of this population.

• Experience effectively managing a team of professional staff in a higher education environment.

• Demonstrated experience in working effectively with people from diverse backgrounds.

• Experience in creating and leading workshops/trainings and communicating complex information to faculty, staff, and students.

PREFERRED QUALIFICATIONS

• Master's degree in counseling, social work, higher education, education, student affairs, or a related discipline.

• Two years of experience managing professional staff in a higher education environment, preferably one that is unionized.

• Knowledge of student development and/ or counseling theory and its applications to academic counseling and student support services.

• Ability to use conflict resolution skills and professional communication when resolving complex issues and de-escalating challenging interactions with students and campus partners.

• Knowledge of the California State University (CSU) System, San Francisco State University, and California secondary education.

• Knowledge of graduation requirements and processes, as well as the obstacles high-unit students face.

• Experience using PeopleSoft - Campus Solutions, Microsoft Office Suite, and advising-related software and technology (Assist.org, College Scheduler, the Educational Advisory Board, etc.)

 

SPECIAL WORKING CONDITIONS

• Ability to succeed in a fast-paced, multi-tasking environment.

• Valid California's Driver's License.

• Ability to work occasionally on nights and weekends, on-campus or off-site, depending upon work conditions and demands.

• Ability to use computers and other communications tools for extended periods of time.
