Job Overview/Summary:

Reporting to the Vice President for Student Affairs, the Executive Director for Student Affairs Planning and Operations will provide direct support to the Vice President, coordinating efficient and effective divisional operations in conjunction with Student Affairs senior, professional and support staff that include: strategic planning, resource allocation and assessment; communication, marketing and technology; student service operations on all campus and instructional sites; policy and procedure review, development and compliance; external relations and fundraising; space and facilities management; professional development and strategic initiatives. The incumbent will ensure that high priority projects are implemented and will provide strategic leadership for the integrated planning, resource allocation, and assessment and communications functions for a division that includes approximately ninety full-time and part-time professional staff, 300 undergraduate and graduate student staff and stewards operating budgets in excess of $5 million. 

Responsibilities:

Divisional Operations

  • Support the Vice President in leading the operations of the division, managing the Office of the Vice President and working closely with Assistant Vice Presidents, Directors and divisional staff to support inclusive student success. 
  • Convenes, manages and facilitates divisional committees, keeping Student Affairs initiatives on-track and completed in a timely fashion.
  • Facilitate senior-level discussions and decision-making, presenting relevant information and research findings, taking notes on deliberations, decisions and action plans and drafting policies, reports and correspondence.
  • Identify systemic issues and propose viable recommendations for resolution to the Vice President.
  • Attend campus-wide committees and meetings on behalf of the Vice President as needed.
  • Ensure matters requiring the Vice President’s attention are developed, researched and evaluated thoroughly before presentation.
  • Monitor and assess the delivery of quality, consistent student services on all University campuses and instructional sites with Student Affairs leadership.
  • Coordinate follow up with students, parents, and staff and community issues on behalf of the Vice President.
  • Remain current on contemporary issues in higher education and student affairs to provide recommendations to address a variety of current and strategic issues.
  • Coordinate and represent Student Affairs in University planning and operations meetings.
  • Coordinate the hiring, training and professional development of Graduate Interns and assists the Vice President with the establishment of new master’s program in Higher Education/Student Affairs with Academic Affairs partners.
  • Exercise discretion in handling administrative records, files and other confidential items and in communicating information to faculty, staff, students and various groups served by the University.
  • Manage the professional development requests, approvals and opportunities for the division.
  • Conceptualize, create and direct staff in the development of content of the Vice Presidents’ speeches, written communication and presentations.
  • Review correspondences sent to the Vice President and coordinate the appropriate responses on their behalf.
  • Coordinate crisis management responses with Student Affairs Senior Leadership Team, drafting and disseminating communications as appropriate.
  • Draft reports for submission to the President’s Office and other constituencies on behalf of the Vice President.
  • Identifies, cultivates and establishes internal and external strategic relationships on behalf of the Vice President.

Integrated Strategic Planning

  • Lead the division’s integrated planning, resource allocation, assessment and communication strategies to demonstrate its impact on student learning and success to internal and external constituencies.
  • Provide leadership and supervision to the Director for Student Affairs Communications and Assistant Vice President for Strategic Initiatives, assessing and disseminating key performance indicators and metrics related to divisional, institutional and NJ Higher Education priorities.
  • Coordinate the division’s budget forecasting and planning process to ensure that its resource allocation and expenses align with departmental, divisional, university and NJ Higher Education priorities.
  • Represent Student Affairs in institutional data management and analytics, enrollment and strategic communications meetings.
  • Conduct other duties as assigned by the Vice President based on divisional needs, skills and interests.

Job Requirements

Required Qualifications:

  • Master's degree from an accredited institution in Higher Education, College Student Personnel, Counseling, Business Administration or related field.
  • Commitment to inclusive student success.
  • Demonstrated knowledge of key issues impacting college student learning and success.

Preferred Qualifications:

  • Previous experience in a higher education, student affairs administration/services setting is highly preferred.
  • Demonstrated proficiency with Student Affairs assessment, data analytics, and student success technological solutions and software packages (e.g. Campus Labs, EAB Student Success Collaborative, etc.)
  • Previous experience leading and integrating strategic operations and communications at the departmental/divisional or institutional level.
  • Strong supervisory abilities.
  • Knowledge and experience conducting research focused on college student development, success, retention, etc.
  • Previous experience teaching at the post-secondary level and coordinating learning opportunities for professional staff.
  • Doctoral degree in Higher Education/Student Affairs or related field/discipline.

Special Knowledge and Skills:

  • Must possess diplomacy, executive maturity and sensitive human relations skills, and the ability to work well with all levels within a diverse, complex organization, including university officials, faculty, staff, and students.
  • Must be adept at multi-tasking and project management while accurately attending to detail.
  • Excellent judgment, discretion and confidentiality in handling confidential and/or sensitive materials.
  • Excellent writing, organizational and communication skills.
  • Demonstrated ability to take initiative in anticipating, organizing and planning for cyclical future needs and tasks.
  • Ability to make independent decisions and exercise sound judgement.
  • Commitment to continuous professional development.
  • Must be willing to work flexible hours (including some evenings and weekends) to accommodate the shifting demand and fast-paced changes in demands and priorities
