Position Description

The Housing Manager oversees various aspects of Department of Residence Life staff positions in regards to their administrative functions. This position is a vital part of generating academic year and summer revenue for the Office of Residence Life. As a member of the Office of Residence Life professional staff, the Housing Manager is responsible for performing or overseeing the daily maintenance of student account reservations and system oversight within the housing management system, StarRez.  The function would include (but is not limited to) creating a new booking, cancelling an existing booking, checking in/out of students from the system for tracking and billing purposes, daily manual charges to student accounts, report writing/generation/review for quality control, room management, and application management.  The Housing Manager is also responsible for assisting the Director for Housing with departmental policy and procedure review and updates on an on-going basis, housing contract management, IT and service department communications (Bursar, Treasurer, Loans & Special Accounts, and RSC) as well as oversee all functions of Housing Services when the Director for Housing is unavailable.  Assists with conference and camp operations and promotions.

Principal Duties and Responsibilities

  1. Oversee day-to-day maintenance of the Housing Management System, StarRez.  This includes (but is not limited to) creating room bookings, processing room changes(ACDs), processing student account billing, placing account waivers, facilitating early arrival/extended stay and break housing, and assisting with the Exemption/Cancellation process. Responsible for implementation of new housing management system modules and enhancements Train all levels of Residence Life staff on utilizing StarRez.
  2. Ongoing updates to housing policies and procedures as well as creation of new policies and procedures to ensure the department is working efficiently/effectively.  Periodic review of departmental procedures and processes is key to identify opportunities to streamline processes. Work with the registrar’s office to implement billing processes to align with the cohort system. Utilize reports to project occupancy, and plan when temporary housing accommodations are needed.
  3. Serve as liaison to supporting UT offices such as Bursar, Treasurer, Loans and Special Accounts, and RSC for questions or concerns billing information within the StarRez system. Coordinate with campus partners such as Orientation, Admissions, Athletics, Greek Life, and Living Learning Community partners about on campus room reservation and placements. Help students navigate the application process with Honors Academic Village and work with their staff on students transitioning between HAV and University Housing. Work with Student Disability Services to provide accommodations for students such as single rooms, medical devices, and Emotional Support Animals. Work with Auxiliary Services to provide door swipe access to students. Coordinate with external partners in the US Census for monthly census information. Coordinate custodial and maintenance communication and priorities during semester transition periods.

  4. Direct supervision of staff including a graduate assistant and professional Hall Director staff during summer. Indirectly supervise the Secretary and front desk staff in Office of Residence Life. Provide support to Senior Staff. Oversee various functions for Hall Directors, GAs, Clerical and student employees regarding housing administration and StarRez.

  5. Oversee development and updates to University Housing Application. Prepare, distribute, and process occupancy reports, and periodic statistical reports related to housing assignments.   Coordinate the financial and non-registration eviction procedures. 

  6. Working with the Associate Director for Residential Marketing and Summer Conferences, manage bookings and rosters in housing management system for approximately 3,500 guests per summer.  Provide direction and outreach for internal and external customers related to conferences and camps. Work directly with large-scale camp groups on their conference and housing needs, and provide information to housing staff. Coordinate guest housing and short-term housing for individual guests throughout the summer and academic year.  

  7. Communicate with staff, students, and families about policy and procedure, situations and other matters. Give presentations and share information at Info Fairs or events such as Rocket Launch, Preview Day, or Admitted Student Receptions. Maintain the Office of Residence Life email account. Share mass communication via email through StarRez. Update housing information on the website.

  8. Other duties as assigned.  Including but not limited to serving in the senior staff on call rotation. 


Job Requirements

Education/Experience/Licensing 

  • Bachelor’s degree required
  • Master’s preferred

  • Two or more years of experience in higher education and/or student affairs preferably in residence life

  • Experience with student information systems such as Banner and Housing Management Systems (i.e. StarRez or RMS).

  • Experience with supervision and working with a diverse population is desirable.

  • Experience with website editing preferred

Communication and Other Skills

  • Excellent verbal, written, and presentation skills.
  • Excellent organizational and administrative skills.
  • Experience in Residence Life administration and a commitment to working with students and staff of diverse backgrounds.
  • Strong administrative and problem-solving skills.
  • Exceptional written and oral communication skills.
  • Ability to develop and maintain positive working relationships.
  • Demonstrated skill at managing crisis situations.
  • Demonstrated supervisory experience.
  • Familiarity with data system and communication technology including but not limited to: social media, Microsoft Office (including Publisher).
