Position Description

The Housing Operations Coordinator is a full time position which reports to the Assistant Director for Housing Operations and Business Affairs (ADHS). He or she is responsible, under the supervision of the ADHS, for the coordination of housing operations and related processes including: housing assignments coordination, priority point calculation and desk operations. He or she is also responsible for the hiring, training and budget management of the Desk Assistants and Office Assistants. Position requires knowledge of database management and exemplary customer service skills. This position has an option to live on campus or off campus.

Duties and Responsibilities:

Room Selection & Housing Assignment - Set up all operational aspects of the room selection process for returning Seton Hall University students. Manage returning and incoming student wait lists. Manages room/meal plan cancellations, release requests, and day to day housing assignment changes. Housing assignment changes include room change period and break housing. Manages room assignments and billing for summer school through Seton Hall's Housing Software. Works with the AD/RHD for summer conferences to manage the room billing for summer conferences.
Coordination of residence hall front desk and office operations - Directly responsible for the collaboration with the Residence Coordinators and their respective residence hall desk staffs. He or she will serve as point of contact for Public Safety and Securitas for daily operations. Directly responsible for the DA selection and hiring process. Will serve as point of contact with Student Employment. Directly responsible for the planning and management of the DA training process including implementation of staff development workshops, production and circulation of staff manuals and management of hardware and software related to desk operations. Management of daily updates and messaging of cards as needed to Lenel card security systems for resident students. Directly responsible for the hiring and training of the office assistant staff. Coordination of student employment for HRL Central Office - Interview and hire candidates using Applicant Tracking System, Page Up. Responsible for the development of the OA schedule and conduct bi-weekly OA Staff Meetings. Review and approve student timecards using Kronos. Responsible for the budget management and oversight of both the DA and OA staffs.
Priority Points systems management - Will assist the Assistant Director of Housing Operations and Business Affairs with the communication to clubs, organizations, and colleagues to request and process their Priority Points each year. Prepare and process program attendance reports from each hall and athletic events on a monthly basis in collaboration with appropriate staff. Utilize Seton Hall Universities housing software system to apply and track Priority Points for students based on GPA, judicial standing and residence hall involvement for each student prior to room selection.
He or she is responsible for the coordination of specialty placements and themed communities. Working collaboratively with the Department of Disability Services (DSS), Athletics, EoP and Pre-Med, Pre-Dent. Placements into themed communities such as Sophomore Discovery Program (SDP), Generation 1 Community, Servant Leadership Community, Nursing Community, Honors and Business Leadership.
Coordinates with the senior live in staff all break housing, early arrivals and late stays. Responsibilities include but are not limited to, communication, marketing, placements, facilitation of meet and greets. Will also work with campus partners to help coordinate early arrivals with athletics, early boutique arrivals and will work with athletics for late stays.


Job Requirements

Required Qualifications:

Master's Degree in Student Affairs and Higher Education or related field
1-3 years of full time experience in Residence Life

Desired Qualifications:

Experience in eRezLife or Housing Director software.
